FAQ: applying for Shaking up Tech
The event is dedicated to women and members of gender minorities who are studying high school level advanced mathematics and are interested in further studies and career opportunities in the field of technology. The main emphasis in the selection of participants is on the applicant's interest in the field. We will also take into account the geographical coverage of applicants from all around Finland.
Application period has ended 31.10.2025. We will contact all the applicants via email.
1. Get to know the event programme
The event is held on several campuses on the same day. The day consists of talks by women working in the field of technology, hands-on workshops, demo sessions and an interactive study fair. The main language of the event is Finnish, but some workshops and presentations will be held in English. You can read all info about the speakers and workshops on this website.
2. Choose which campus you want to attend
You can only attend one campus. If you want to select more than one campus, rank them in order of preference on the application form. We will try to select you for either your first or second choice. The event is free of charge for selected participants, including travel and, if needed, accommodation. Accommodation will be arranged for participants coming from farther away for the night before and/or after the event.
3. Fill in the application form
Carefully enter your contact details in the application form. We will primarily contact you via email regarding the event, so please provide an email address you use regularly.
4. Wait for a reply and further instructions
We will notify you of the results of your application by email. All selected participants will also receive an additional form to confirm their participation with important questions about the event and your participation.
5. Confirm Your Participation
Please fill in the confirmation form within the given timeframe. We will do our best to accommodate any special needs indicated during the application process, such as mobility restrictions.
No, every event is available for every applicant. Everyone, regardless of geographical location, has equal chances to be chosen for the event at the university of their first choice. We will reimburse any travel expenses, regardless of the place of residence, in accordance with the travel guidelines.
In other words, people living in Helsinki don't have to apply to the event in Aalto, or those living in Eastern Finland don't have to join the event in LUT-university. You are free to apply and head on to any Shaking up Tech event anywhere in Finland.
Yes, women and gender minorities members from all high school years may apply.
Participating in the event
Every event participant has the right to feel welcome and safe at Shaking up Tech. By acting responsibly and respectfully towards each other, we create an equal opportunity for every participant to enjoy the event.
At Shaking up Tech we meet each other with an open mind, respecting each other's experiences and personal space. We are open to learning new things, listening and being heard. We use respectful language and treat each person we meet with respect.
If you encounter inappropriate behaviour, language or feel threatened during an event, you can contact the event staff. You can identify them by their black Shaking up Tech logo shirts.
Shaking up Tech will reimburse travel expenses to the event for all participants. We will apply for a tax-free grant on behalf of the participant to cover any travel expenses in Finland (vero.fi/apurahat).
You are responsible for booking and purchasing all travel tickets to the event. Travel reimbursements for tickets can be applied for after the event using the travel reimbursement form, which will be emailed to all participants.

Shaking up Tech will reimburse travel expenses:
- From the participant's home municipality to the event and back by the cheapest public transport.
- Use of own car at the official government mileage rate only for those parts of the journey that cannot be made by public transport.

In person for each participant. Each participant must make their own travel claim, and you cannot claim travel expenses on behalf of others.
To be eligible for travel expenses:
- You must submit all receipts for your trip attached to the application form after the event. Only a receipt provided by the service provider will be accepted as proof of payment, not, for example, a screenshot from your online bank account.
- For journeys made by private car, a certificate signed by the driver of the vehicle stating the distance traveled, their name and signature is accepted as proof.
- You will need your own bank details to fill out the reimbursement form. The form cannot be filled in by the guardian and the reimbursement can only be paid on your personal account.
Possible exceptions:
- If the journey time on the cheapest connection is more than six hours, we will also reimburse you for a faster connection.
- If you have to leave your residence before 06.00 in the morning or if you would get home after the event after 00.00 at night using the cheapest public transport option, you are entitled to free accommodation at the venue. See "Accommodation at the venue" below.
- If you have to cancel your participation in an event due to illness, we will reimburse your travel expenses upon presentation of a medical certificate. In other cases of cancellation, we will not reimburse the travel expenses incurred.
- If someone other than the participant buys the tickets, the participant must still apply for reimbursement in person. The reimbursement will be paid into the participant's account, after which the participant can transfer the payment to the ticket purchaser.
The travel claim form is personal and you can use it to claim reimbursement only for your own expenses. A single form is used to claim reimbursement for journeys made by one person, and the person claiming reimbursement must be a ticket holder.
If you are buying a ticket for someone else, do as follows:
- Buy a ticket and send the ticket and all receipts related to the purchase to the ticket holder.
- After the event, the person who used the ticket fills in an expense claim form for their own travel.
- The reimbursement is paid into the account of the person who used the tickets, who can then transfer you money spent for the tickets.
If you are arriving from further afield, Shaking up Tech will arrange accommodation for you at the venue. You are entitled to free accommodation on the night before and/or the night after the event if:
- You should leave your home before 06.00 on the day of the event to arrive at the venue at least 20 minutes before the event starts.
- You will not be able to get home before 00.00 on the evening of the event.
Detailed information on accommodation will be sent to the participants via email in an info package.
Please note that the participant doesn't need to make the hotel reservation themselves. Shaking up Tech will book the participants' accommodation according the participation confirmations.
During the event:
- Shaking up Tech team members are there to guide you through the event.
- The event is drug- and alcohol-free, so the use of intoxicants is not permitted from Wednesday to Friday in the event venues from Wednesday to Friday.
After the event:
- At the end of the event, event team members will guide you home.
- By sharing your Shaking up Tech day at your high school, you'll encourage other students to take the pchance and explore the opportunities in the field of technology. This is an annual event - we hope to see participants from your high school also next year!
- After the event, we will ask you to fill in a feedback form (will be sent to your email). We hope as many people as possible will fill in the feedback form, it's really important to us.

The day starts at the Aalto University Undergraduate Center (Otakaari 1F, Espoo), where you will be welcomed in the main lobby.
By bus:
Almost all buses to Helsinki arrive at Kamppi. Follow the signs to the Kampi metro station. Buy a ticket for zone AB before going to the metro platform. Take the metro west (Tapiola/Matinkylä) and get off at Aalto University -stop.
By train:
Take the train to Helsinki central railway station. Inside the station, take the stairs down, where you can take the escalators/elevators to the metro platform. Buy a ticket for zone AB before going to the metro platform. Take the metro west (Tapiola/ Kivenlahti) and get off at Aalto University -stop.
By plane:
From Helsinki-Vantaa airport you can take the I or P train to Helsinki central railway station, the journey takes about 30 minutes. For instructions on how to get to the university from the train station, see the instructions for those arriving by train. You can get all the way (train/metro) with one ABC zone ticket.
By car:
Please note that we do not pay travel compensation for journeys made by private car for those parts of the journey that can be covered by public transport.

On campus:
When you arrive at Aalto University metro station from Helsinki city centre and get off the metro, turn left and go up the escalator towards Otaniementie. Take the exit between R-kioski and Espresso House. The Undergraduate Centre is the red building directly ahead at your right. Walk straight and use the 1F main entrance. If necessary, our guides will meet you at the train station, bus station or airport.
We recommend all participants to download the HSL app on their phone in advance. You can buy all the public transport tickets you need from the app. In addition to the app, you can search for public transport routes in the HSL route guide, find the campus by typing "Aalto University" or "Otakaari 1, Espoo".

After the event:
At the end of the event, event team members will guide you to the metro and on your way home. If you have a bus, train or flight leaving on the day of the event, so that you need to leave the event before 18.30, please make sure you leave on time. The metro ride to the train station or Kamppi takes about 15 minutes. The train journey from the train station to the airport takes about 30 minutes. Make sure you are at the airport at the time recommended by the airline before the departure of your flight.
If you have indicated that you need a guide to the airport, train station or bus station from the university, we will contact you by phone and guide you home.
If you are arriving from further afield, Shaking up Tech will arrange accommodation for you at the venue. You are entitled to free accommodation on the night before and/or the night after the event if:
- You would need to leave from home before 06:00 on the day of the event to arrive at the venue at least 20 minutes before the event starts.
- You would not be able to get home before 00:00 on the evening of the event if you left the venue at 18:30.
Accommodation will be in 2-3 person rooms shared by the participants at Radisson Blu Hotel Espoo (Otaranta 2). In addition to clothing, participants will only need to bring personal hygiene items.
Please note that the participant doesn't need to make the hotel reservation themselves. Shaking up Tech will book the participants' accommodation according the participation confirmations.
Shaking up Tech follows Aalto University’s sustainability principles. For this reason, the provided event catering will include only vegetarian and vegan options, with the exception of Hotel Radisson Blu’s own breakfast.
During the event, all meals are free of charge for participants. Please indicate any special dietary requirements on the confirmation form.
Breakfast at 08:00 – 09:30
You can register for breakfast when you confirm your participation in the event. Hotel guests do not need to register for breakfast as breakfast is included in their accommodation.
Lunch at 11:15 – 12:40
Lunch will be served after the morning session; we annually invite speakers from the event to join us for lunch.
Dinner around 17:00 – 18:00
Dinner will be served during the study fair.
An evening snack and breakfast will be provided for those staying at the venue hotel.
Shaking up Tech will reimburse travel expenses to the event for all participants. We will apply for a tax-free grant on behalf of the participants to cover any travel expenses in Finland (vero.fi/grants).
You are responsible for booking and buying your tickets. Travel reimbursements for tickets can be requested after the event by 6 February using the travel reimbursement form, which will be emailed to all participants. We will process the reimbursement claim forms by 6 March.
We will reimburse the use of your own car, in accordance with the official government kilometer allowance, only for those parts of the journey that cannot be made by public transport.
The travel claim form is personal and you can use it to claim reimbursement only for your own expenses. A single form is used to claim reimbursement for journeys made by one person, and the person claiming reimbursement must be a ticket holder.
You will be welcomed in the lobby of the Tietotalo building on Tampere University’s Hervanta Campus (Korkeakoulunkatu 1). Clear signs outside the building will help you find your way.
We recommend arriving at least 30 minutes before the first session of the day begins.

The event day begins at the Tietotalo building (Korkeakoulunkatu 1), where participants will be welcomed in the main lobby.
If you arrive in Tampere by train or coach, the easiest way to reach Hervanta Campus is by tram. Tram number 3 runs every 6–7 minutes.
By bus:
Long-distance coaches arrive at Tampere Bus Station. From there, walk about 200 metres to Sorin aukio and take tram number 3 towards Hervanta. Purchase an AB zone ticket in advance using the Nysse Mobiili app or pay contactlessly on board. Remember to validate your ticket inside the tram at the start of your journey. Get off at Hervantakeskus stop and walk about 350 metres to Hervanta Campus.
The total journey takes around 30 minutes.
By train:
Arrive at Tampere Railway Station. Walk about 100 metres to Hämeenkatu and the tram stop Rautatieasema B, then take tram number 3 towards Hervanta. Purchase an AB zone ticket in advance using the Nysse Mobiili app or pay contactlessly on the tram. Remember to validate your ticket inside the tram at the start of your journey.
Get off at Hervantakeskus and walk about 350 metres to Hervanta Campus. The journey takes about 26 minutes.
By car:

After the event:
At the end of the event, members of the event team will assist you with your journey home. If your bus or train departs before 18:00, please make sure to leave in good time.
Travel from the university to the railway or bus station takes around 30 minutes.
If you have requested an escort from the university to the railway or bus station, we will contact you by phone and guide you to your destination.
If you are travelling from outside Tampere, Shaking up Tech will arrange accommodation for you near the event venue. You are entitled to free accommodation on the night before and/or after the event if:
- You would need to leave home before 06:00 on the event day to arrive at the venue at least 20 minutes before the programme begins.
- You would not reach home before 00:00 if you left the event at 17:30.
Accommodation will be provided at Hotel Uumen in central Tampere (Finlaysoninkatu 5).
Further details will be sent to participants who indicate the need for accommodation during registration.
Participants under 18 must also submit a guardian’s consent form, which will be sent together with the accommodation details by email.
Meals during the event are free of charge for all participants. Please indicate any dietary requirements or food allergies on the registration form.
Breakfast 8:30–9:30
You can register for breakfast when confirming your participation.
Hotel guests do not need to register separately, as breakfast is included in their stay and served at the accommodation venue.
Lunch 11:15–12:15
Lunch will be served after the morning sessions at the campus restaurant Reaktori. Guest speakers are also invited to join.
Dinner from 16:30 onwards
Dinner will be served in connection with the exhibition.
Shaking up Tech will reimburse travel expenses to the event for all participants. We will apply for a tax-free grant on behalf of the participants to cover any travel expenses in Finland (vero.fi/grants).
Please note that we only reimburse travel directly from your home to Hervanta Campus and back home. If you are unsure about the amount of reimbursable costs, please contact us by email.
Participants are responsible for booking and purchasing their own travel tickets. Reimbursements will be paid after the event based on receipts. Claims must be submitted by 6 February 2026 using the travel reimbursement form sent by email to all participants.
Please remember to keep all your tickets and receipts! Claims are processed in order of arrival, and the usual processing time is about three weeks.
If your bus or train departs before 17:30, please make sure to leave the event in time.
If you have requested assistance travelling from the university to the railway or bus station, we will contact you by phone and guide you there.
We reimburse travel by private car according to the official state mileage rate, but only for portions of the journey that cannot be made using public transport.
The travel reimbursement form is personal, and you can only claim expenses incurred by yourself.Each form covers the travel costs of one participant, and the claimant must be the traveller whose name appears on the ticket.
You will be welcomed at the University of Oulu, Linnanmaa campus, at the 2T entrance lobby. The entrance is easy to find – a large green “Oulu University” sign is above the doorway.
We recommend arriving at least 30 minutes before the first programme item of the day.

The event takes place at the University of Oulu, Linnanmaa campus (Erkki Koiso-Kanttilan katu 1). You will be greeted near the 2T entrance lobby (Agora). Follow the green “Oulu University” sign and on-site directions.
By bus:
Arrive at Oulu bus station. The closest stop is “Linja-autoasema E.” Buses 1, 2, 5, and 8 go to Linnanmaa campus. Get off at “Yliopisto P.” Purchase tickets via the OSL app or directly on the bus with a card. Check local schedules using the route planner: Oulu's public transport route guide.
By train:
Arrive at Oulu railway station. Exit via the underpass towards Raksila to reach bus stop “Linja-autoasema E.” Buses 1, 2, 5, and 8 go to Linnanmaa campus. Get off at “Yliopisto P.” Purchase tickets via the OSL app or directly on the bus. You can check bus schedules, routes and a map in Oulu's public transport route guide.
By car:

From the hotel:
Accommodation details will be sent separately to participants who requested overnight stay when registering.
Departure:
After the event, staff members will guide you to your transport home. If your bus or train leaves before 18:00, please leave in time to catch it. Travel from the campus to the railway or bus station takes approximately 30 minutes.
Shaking up Tech provides free accommodation for participants coming from further away. You are eligible for accommodation the night before and/or after the event if:
- You would need to leave home before 06:00 on the event day to arrive at least 20 minutes before the start.
- You cannot return home on the evening of the event before 00:00 if leaving the campus at 17:30.
Accommodation will be in shared 2–3 person rooms at Hotel Scandic Oulu City (Saaristonkatu 4). Further details will be sent separately to participants who requested accommodation.

All meals during the event are free for participants. Please indicate any dietary requirements on the registration form.
- Breakfast: 08:00 – 09:30 (register in advance when confirming participation; hotel guests do not need to register as breakfast is included)
- Lunch: 11:15 – 12:15 (after morning talks; guest speakers are also invited)
- Dinner: 16:30 – 17:30 (served during the exhibition)
Hotel guests will also have evening snacks and breakfast included in their stay.
Shaking up Tech reimburses travel costs for all participants. We apply for a tax-free grant on your behalf to cover travel within Finland (vero.fi/grants).
We reimburse only travel directly between your home and Linnanmaa campus. If unsure about reimbursable costs, please contact us via email.
Booking and purchasing travel tickets is your responsibility. Travel reimbursements are claimed after the event using a form sent by email. Keep all tickets and receipts! Forms are processed in order of receipt; processing usually takes about three weeks. You will need personal online banking credentials to complete the form.
Reimbursement for private car use is based on the official kilometre allowance and only for parts of the journey that cannot be made by public transport.
Travel reimbursement forms are personal. Each form covers one participant’s travel expenses, and the applicant must be the ticket user.
