Participation instructions for the Tampere University event

Arrival
Shaking up Tech will be held at Tampere University’s Hervanta campus. On arrival, please register first in the lobby of Tietotalo at Korkeakoulunkatu 1. When you register, you will receive your event pass and other important information about the day.
Linja-autolla:
Most long-distance coaches to Tampere arrive at Tampere Bus Station (Hatanpään valtatie 7). From the front of the bus station, take tram line 3 from stop Sorin aukio B to stop Hervantakeskus B. Walk to the campus. Remember to validate your public transport ticket when boarding the tram; select an AB ticket.
Junalla:
Arrive at Tampere Railway Station. Go to the tram stop Rautatieasema B on Hämeenkatu and take tram line 3 to stop Hervantakeskus B. Walk to the campus. Remember to validate your public transport ticket when boarding the tram; select an AB ticket.

Please note that we do not reimburse private car travel for any part of the journey that could reasonably be made by public transport.
On campus
Registration and the morning talks will take place in Tietotalo (Korkeakoulunkatu 1). It is a short walk from the tram stop to the campus.

If you have a coach or train to catch on the day of the event and need to leave before 18:00, please make sure you depart in good time. The tram journey including walking takes about 30 minutes to the railway station and about 35 minutes to the bus station.
If you are travelling from further away, Shaking up Tech will arrange accommodation for you at the event location. You are entitled to free accommodation on the night before and/or after the event if:
- You would have to leave home before 06:00 on the event day to arrive at the venue no later than 20 minutes before the event starts; or
- You would not arrive home before 00:00 on the night of the event if you left the venue at 18:30.
Accommodation will be in shared rooms for 2–4 people at Hotel Uumen in Tampere city centre (Finlaysoninkatu 5). In addition to clothing, please bring only your personal hygiene items.
Please note that participants do not need to make their own hotel reservations. Shaking up Tech will book participants’ accommodation based on the information provided in the participation acceptance form.
All meals during the event are free of charge for participants. Please indicate any special dietary requirements on the registration form.
- Breakfast 08:30–09:30 You can sign up for breakfast when you confirm your attendance. Hotel guests do not need to register for breakfast, as it is included with their accommodation.
- Lunch 11:15–12:30 Lunch is served after the morning talks.
- Dinner approximately 17:00–18:00 Dinner is served in conjunction with the fair. Hotel guests will also have an evening snack and breakfast provided at the hotel.
Booking and purchasing travel tickets is the participant’s responsibility. We reimburse travel costs for the most suitable and cheapest public transport connection that fits the schedule. If you are unsure about what costs can be reimbursed, please contact us by email.
Please note that we only reimburse travel directly from your home to Tampere and from the Hervanta campus back home.
Use of a private car is reimbursed at the official state mileage rate only for those parts of the journey that cannot be made by public transport.
Travel expense claim form
Claims for ticket reimbursements must be submitted after the event by 6 February using the travel expense claim form. We will send the form by email to those participants who have indicated that they will apply for travel reimbursements. We will process the forms by 6 March.
You must attach all payment receipts for your trip to the claim form after the event. Only receipts issued by the service provider are accepted; for example, a screenshot from online banking is not sufficient.
For journeys made by private car, a certificate signed by the driver is required as proof, stating the distance travelled, the driver’s printed name and signature.
The travel expense claim form is personal, and you may only claim your own costs. One form is used to claim reimbursement for one person’s completed journeys, and the claimant must be the ticket user. You cannot claim travel expenses on behalf of others. A guardian cannot complete the form, and reimbursement cannot be paid into a guardian’s bank account.
Possible exceptions
- If the travel time by the cheapest option exceeds six hours, we will also reimburse reasonable travel costs for a faster option.
- If, using the cheapest option, you would have to leave home before 06:00 in the morning to attend the event, or you would arrive home after 00:00 at night after the event, you are entitled to free accommodation in the event locality.
- If you must cancel your participation due to illness, we will reimburse any travel costs incurred upon presentation of a medical certificate. In other cases of cancellation, we do not reimburse travel costs.
- If someone other than the participant purchases the travel tickets, the participant must still apply for the reimbursement. The reimbursement will be paid into the participant’s bank account, after which the participant can transfer the amount to the person who purchased the tickets.
If you buy a ticket for someone else, do the following:
- Buy the ticket and send the ticket and all related receipts to the person who will use it.
- After the event, the person who used the ticket completes the expense claim form for their own journeys.
- The reimbursement is paid into the account of the person who used the ticket, after which they can transfer the ticket cost to you.
